Affiliate Types

Affiliates are organized into Affiliate Types.  This allows you to group affiliates.  Unlike previous versions, commission rates are now defined under Affiliate Types rather than at the individual affiliate level.  This allows you to more easily change rates for an entire group of affiliates.  For example, you might group your affiliates like this:

  • Generic Affiliates
  • Top Performers
  • Search Engine Advertising
  • Other Advertising

The last two would be used for running and tracking your advertising campaigns on other sites in order to track the conversions.

View All

Use this option to view all Affiliate Types already in the system.  To search for a specific affiliate type, enter a search term in in the text box and then click search.


Note: The number of results per page displayed throughout Affiliate Wiz is determined by the setting "Records Per Page" found in the Preferences/Setup area.  The default setting is 10 records per page.

Add New/ Edit

General Fields

Description -- Enter a brief description of the affiliate type.  For example, "Generic Affiliates" or "Top Performers" or "Internal Advertising".

Notes -- Enter any optional notes.

Tiers -- Select the number of tiers supported for this affiliate type.

Affiliate Wiz supports up to 5 tiers of commission.  With such a program your affiliates are not only rewarded for sending you sales directly from their web site, but also for sending you new affiliates who then send you sales.  As an example, suppose Joe joins your affiliate program, shows some of your products and begins earning commissions on sales at the Tier 1 level.  Now suppose Joe also shows a link encouraging his web visitors to join your affiliate program.  Jennifer comes along, follows the link and joins your affiliate program.  Jennifer is now registered as a Tier 1 affiliate for sales that come directly from her site and is placed under Joe's second tier.  Note: If you are running a two-tier or higher affiliate program, you must edit the preferences, then click "Affiliate Console" and modify "Tier X Literature Information".   You should also make sure you specify the parameter called "Affiliate Signup/Information page" found in the preferences as this is the page where potential affiliates are sent when wanting to signup through one of your affiliates web sites.  For example, if site X promotes your affiliate program and user Y clicks on the promotional banner with an interest in joining, they are redirected to this page.  This could be the actual signup page or an information page.

Now if Harry goes to Jennifer's site, clicks on a product link and makes a purchase, Jennifer earns Tier 1 commissions for the sale and Joe earns Tier 2 commissions as a result of Jennifer's sale.

The multi-tier system is a great way to encourage other affiliates to help promote your affiliate program.

Default cookie expiration (days) --  Enter the number of days that cookies will be valid.  For example, if you enter 365, each time a person clicks on a banner on an affiliates site, a cookie will be placed on their computer.  This cookie will not expire for 365 days.  If a person visits your site but does not purchase, then returns 10 days later, the sale is still recorded provided they return before the cookie expires.

Default Language -- Select the default language for this Affiliate Type.  When new affiliates register under this type, they inherit this default language.

Categories

Select all categories that will fall under this affiliate type.  You can also assign affiliate types to specific categories at the category level.

Commission Types/ Minimum Payout Amount

Select the types of affiliates your program will support.

Per Sale Commission

Select this type of affiliate if the affiliate will be paid a percentage of or flat rate for each sale.  Similar to Amazon.com's affiliate program you might pay your affiliates 5-15% of each sale.  Alternatively, you might pay them a flat rate of $10 per sale.

Per Sale Commission Type --  If your affiliate program supports per sale commission, you must also define whether the affiliates are payed on a flat rate or percentage basis.  Similar to Amazon.com's affiliate program you might pay your affiliates 5-15% of each sale.  Alternatively, you might pay them a flat rate of $10 per sale.

Delete Cookie After First Sale -- If checking this option the cookie is deleted from the purchasers computer after the first sale is made.  This will prevent future sales from being recorded should this person make another purchase.  If the person goes back to the Affiliate's web site and clicks another link the cookie will be set once again and the sale will then be recorded if another sale is made.

Pay Per Lead

Select this type if your affiliate is to be compensated each time a lead is recorded from their site.  Example of leads might be an email subscription, web site membership, etc.  As an example, you might pay the affiliate 10 Cents each time a visitor clicks through and joins your mailing list. 

Delete Cookie After First Lead-- If checking this option the cookie is deleted from the persons computer after the lead is recorded.   If the person goes back to the Affiliate's web site and clicks another link the cookie will be set once again and a future conversion will be recorded as another lead.

Pay Per Click

Select this type if your affiliate is to be compensated each time a visitor clicks through from the affiliate site to yours.  The corresponding affiliate rate for this type might be something on the order of a few cents.

Delete Cookie After First Per Click Commission  -- If this option is checked the cookie is not retained after the click through. 

Minimum Commission Payout -- Enter the minimum payout amount.  Affiliates will only be paid when meeting this minimum amount.  Enter 0 to payout any amount no matter how small it may be.

Per Sale Commission Rates

Per Sale Commission Rate -- If supporting a Per Sale Commission plan, enter the rate that is to be used for each sale.  If running a Flat Rate program, enter the amount that will be given to an affiliate for each sale. For a flat rate sale you might pay them $25 per sale in which case you would enter 25.00.  If the affiliate is being compensated as a percentage of each sale, enter the percentage in decimal format.  For example, if paying 10% for each sale enter .10 for the affiliate rate.  Note: If running a multi-tier program, be sure to also enter the additional tier rates.

Pay Per Sale Rate Change 1 --  Use this option to increase an affiliate's tier 1 rate based on certain thresholds.  The rate can be increased based on the number of monthly sales or based on the total sales amount, or based on the individual sale amount.  For example, you might increase the payout rate after an affiliate makes 50 sales in a given month.  Or, you might increase the rate after an affiliate generates $1000 in revenue in a given month.  Or you might increase the rate if the sale amount is over X dollars.  The value you enter becomes the new rate and is not added on to the original rate.

Pay Per Rate Change 2-5 -- Same as Pay Per Sale Rate Change 1 but allows you to define an up to 4 additional bonus levels.  For example, if your first level is to increase the payout after 50 sales in a given month, the next level might be 100 sales.  The value you enter becomes the new rate and is not added on to the original rate.

Per Lead Commission Rates

If your program supports a Pay Per Lead program, enter the default rate assigned to each affiliate when joining your Affiliate Program.  For example, if you are paying 10 Cents for each lead enter .10.   If running a multi-tier program, be sure to also enter the additional tier rates.

Pay Per Lead Rate Change 1 --  Use this option to increase an affiliate's tier 1 rate based on a specific number of monthly leads.  For example, if an affiliate is paid $.50 per lead, you might increase the rate to $.75 for 100 or more leads in a given month.  The value you enter becomes the new rate and is not added on to the original rate.

Per Click Commission Rates

For Per Click affiliates you might reward them a few cents for each click.  For example, to award them 5 cents enter .05 as the affiliate rate.  If running a multi-tier program, be sure to also enter the additional tier rates.

Pay Per Click Bonus 1 --  Use this option to increase an affiliate's tier 1 rate based on a specific number of monthly clicks.  For example, if an affiliate is paid $.50 per click, you might increase the rate to $.75 for 100 or more clicks in a given month.

Pay Per Click Bonus 2 -- Same as Pay Per Click Bonus 1 but allows you to define an additional bonus level.  For example, if your first level is to increase the payout after 100 clicks in a given month, the next level might be 500 clicks at which time the rate might jump to $1.00 per click.

Affiliate Referral Bonus

Use this option to pay affiliates for referring/signing up other affiliates.  The bonus can be paid as a sale or lead and can be registered as pending or approved.  Please note that you can only pay as a sale if the Affiliate is set to pay-per-sale.  You can only pay as a lead if the Affiliate is set to pay-per-lead.

Nth Sale or Lead Bonuses (two available)

Use this option to pay affiliates a bonus on their Nth sale or lead.  You can pay up to two of this type of bonus.  The bonus can be paid as a sale or lead and can be registered as pending or approved.  Please note that you can only pay as a sale if the Affiliate is set to pay-per-sale.  You can only pay as a lead if the Affiliate is set to pay-per-lead.  The Nth sale can be defined during a period of each Year, Month or the entire period of record since you began running your Affiliate Program.  As an example, you could pay each affiliate a $10 bonus on their 10th sale during each and every year.

Sales/Lead Approval

Automatically Approve Sales  -- Check this option to automatically approve all Sales for any affiliate belonging to this affiliate type.  If this is not checked, the sales will appear as pending an must be manually approved.

Automatically Approve Leads -- Check this option to automatically approve all leads for any affiliate belonging to this affiliate type.   If this is not checked, the leads will appear as pending an must be manually approved.

Sales Viewing Options

Allow Affiliates to View Sales Detail -- Check this option to allow affiliates to view sales detail information.  In most cases you will probably not want to allow your affiliates to view sales detail information.

Sales Detail fields to display -- If allowing your affiliates to view sales detail information, select the fields you want them to be able to view.

Allow Affiliates to View Pending Sales -- Check this option to allow affiliates to see sales that have not yet been approved.   If this option is checked, affiliates will also get the email notification when a pending sale has been made. 

If you are using this option, we recommend that you customize the sales notification message under "Preferences -- Email Messages" so that the status of the sale is included in the message.

Allow Affiliates to view Invalid Sales and the Reason they are invalid -- If enabled affiliates can view sales that are invalid, including the reason why they are invalid. 

Lead Viewing Options

Allow Affiliates to View Lead Detail -- Check this option to allow affiliates to view lead detail information. 

Lead Detail fields to display -- If allowing your affiliates to view lead detail information, select the fields you want them to be able to view.

Allow Affiliates to View Pending Leads-- Check this option to allow affiliates to see leads that have not yet been approved.  

Allow Affiliates to view Invalid Leads and the Reason they are invalid -- If checked affiliates can see Leads that are invalid along with the reason they are invalid.

Tiered Affiliate Display Options

Allow Affiliates to View  Tiered Affiliate Count -- Check this option to allow affiliates to see a summary of how many affiliates have signup up under them as Tier X affiliates.

Allow Affiliates to View  Tiered Affiliate Detail -- Check this option for affiliates to see detailed information about those affiliates who signed up under them.  This will allow the affiliate to contact the sub affiliate.  The fields displayed include: Affiliate ID, Email, Contact Name, and Web Site URL.

Other Options

Display Option to Create Custom Links in Affiliate Console -- Check this option to include a link in the Affiliate Console for affiliates to create custom links.  This includes the option to encode an entire web page or user-defined HTML for link tracking purposes.  This also includes the option to modify an existing link to point to any web page on your website.

Override Direct Linking Option and Use Redirects Instead -- If you are using Direct Links (enabled under preferences/setup) you can override direct linking for a specific Affiliate Type by selecting this option.

Custom URL for Direct Links -- By default the Web Site URL specified under Preferences/Setup is used unless you specify a different URL in this field. This field can also be changed for specific affiliates by editing the Affiliate record.

Allow Affiliates to Have Sales Data Posted to a custom URL on their site -- Check this option to allow affiliates to post sales data to a custom script on their web site.  For more information on this topic, visit our web site.

Allow Affiliates to Have Leads Data Posted to a custom URL on their site -- Check this option to allow affiliates to post Lead data to a custom script on their web site.  For more information on this topic, visit our web site.

Allow Affiliates to view Recent Clicks--  If checked affiliates can view a list of recent clicks including the BannerID, Banner or Link name, IP Address, SubAffiliateID and the page that generated the click.

Show earnings summary in Affiliate Console including Total Earned, Total Paid and Current Balance--  If checked affiliates see a summary of how much they earned, how much has been paid, and their unpaid balance.

Display Banner Effectiveness Report--  If checked affiliates have access to a banner effectiveness report showing sales, leads, impressions, clicks by banner along withe commissions earned.

Hide SubAffiliateID Option--  Check this option to hide the option for affiliates to use SubAffiliateID's when creating links in the affiliate console.

Email Marketing Options

Allow Affiliates to Send Email Marketing Messages to their prospects  -- Choose this option to allow affiliates to send email marketing campaigns to their prospects directly within the Affiliate Wiz affiliate console.

Email Message Limit -- Specify the maximum number of messages that can be sent at any one time.  It is highly recommended that you limit the number of messages that can be sent.

Allow Affiliates to email their own content -- This option allows affiliates to email their own content.  Use with caution as this option would allow an affiliate to send spam since you do not control the content they are emailing.

Opt Out Text to be included in each email. This is required to comply with spam laws.  This option allows you to specify the opt out text and link to be included at the end of each and every email.

Allow affiliates to specify a custom From Email Address -- Choose this option to allow affiliates to change the From Email address when sending email marketing.

Apply prospect opt outs to the global opt out list (All other affiliates) -- Choose this option to force individual opt outs to get placed on the global opt out list so that other affiliates cannot email this address.

Product-Specific Commissions

Product-Specific Commissions

To handle product specific commissions you must:

  1. Define the individual products and the commission amount and type
  2. Modify your sales tracking code to pass the products that were purchased and the amount of each product that was purchased

Defining Product-Specific Commissions

  1. Begin by choosing Affiliate Types/Rates.
  2. Next click the Add Product-Specific Commission option
  3. Enter a product name/description. 
  4. Enter the Product Code that matches the unique product code or ID used in your shopping cart.
  5. Choose a specific Affiliate Type or individual Affiliate Type to apply this commission.  If you setup the same Product Code for "All Affiliate Types" and a specific Affiliate Type, the specific Affiliate Type always overrides the "All Affiliate Types" option.
  6. Specify whether the commission will be flat rate or a percent of the sale.
  7. Enter the applicable tiered rates.  For Percent of Sale enter as a decimal.  For example, 5% would be entered as .05.

Viewing Product-Specific Commission Rates

To view existing Product-Specific Commission Rates, click Affiliate Types/Rates then View Product-Specific Commission Rates


Setting up the Sales Tracking Code to pass the product-specific commissions

The tracking code is obtained by clicking Tracking Code/Sales Tracking Code.  The standard code looks like this:

To that code you must append each Product Code and the amount paid for the product using &P1=X&PA1=Y where P1 is the Product Code for the first item purchased and PA1 is the product Amount.  Here is an example with multiple products:

Where can Affiliates view the Product-Specific Commission Rates?

Affiliates can view the product-specific rates in their Affiliate Console by clicking Commission Rates


Notes:  If the Total_Amount variable that is passed is greater than the sum of each individual products, the difference is paid out at the default commission rate setup for the affiliate.  For example, if you pass 3 products totaling $500 and the Total_Amount is passed as $600 the remaining $100 is paid out at the default commission rate set for the Affiliate Type.

When editing a Sale in the admin console a list of Products that were treated as product-specific commissions are shown along with the amount for each.

Announcements
Use this option to create announcements to display to your affiliates.  For example, you might announce new products or changes to commission structures.  Once created an Announcement can also be emailed to your affiliates.
View Announcements

Use this option to display a listing of announcements.

Email -- Click the email link if you wish to email this announcement to your affiliates.

Add New/Edit

Expiration Date -- Select the date when this announcement should expire and no longer display.

Affiliate Types -- Select all affiliate types that should see this announcement.

Headline -- Enter the headline of the announcement.

Announcement Content -- Enter the content of the announcement.  You can enter text or HTML.  If you are using Internet Explorer, you can click the Edit in WYSIWYG editor button to edit the content.

Affiliates
The Affiliates link allows you to view a list of all your existing affiliates.  You can also view Tiered affiliates to see which affiliates referred other affiliates, pay your affiliates, and import affiliates from an ODBC-compliant database.
View All

Click View Affiliates to display a list of all affiliates who have already joined your program.  You can use the filter option to search for a specific affiliate, to view Active versus Pending affiliates, or to view affiliates of a specific Affiliate Type.

Login -- Click this link to directly login to the "Affiliate Console" as a specific affiliate.

Pending Affiliates -- When filtering pending affiliates, two additional columns appear.  These include approve and reject/delete.

Approve -- Click this link to approve a pending affiliate and automatically email them the new member acceptance email message.

Reject/Delete -- Check this option to reject an affiliates application, email them the rejection email notice, and delete them from the system.

Add/Edit Affiliate

Use this option to add a new affiliate into the system.  In most cases you will use the Affiliate Signup page and allow affiliates to signup themselves from your web site.  However, in the even that you must manually enter an affiliate you can use this option.

Fields are defined below:

General Fields

AffiliateID -- By default, Affiliate Wiz uses a number for the AffiliateID, however, to use a custom non-numeric value check the box "Check to use a custom Affiliate ID" and enter your own custom AffiliateID.  The value cannot be numeric.

Username -- Enter a username between 5-10 characters in length.  The username can consist of letters and numbers and will be used to validate the user when logging in to check their statistics and update their account.  If this username already exists in the database you will be informed to select a new name.

Password -- Enter the password to be used by the affiliate when logging into the system.  Similar to the Username the required length is 5-10 characters.

Email -- Enter the email address of the affiliate.

Notify By Email When a Sale is Made -- Selecting yes will send an email notice to an affiliate each time a sale is made. 

Notify By Email When a Lead is Made -- Selecting yes will send an email notice to an affiliate each time a lead is made.  Name -- Enter the name of the affiliate including first and last name.

Optional Additional Email Addresses for Sale/Lead Notifications (Separate multiple addresses using a comma) -- Use this option if you wish for sales and leads notifications to go to additional email addresses for this affiliate.

Payment Method -- Choose a method of payment.

Make Checks Payable To -- Specify the name or company name to which checks are written if payment method of "Check" is selected.

PayPal Email -- Enter PayPal Email Address if payment method of "PayPal" is selected.

Affiliate Type -- Select the type of affiliate. Affiliate Types allow you to segment your affiliates so some can be shown different banners than others.  It also allows you to group them for purposes of changing rates at a future date.

Account Status-- Select the affiliate status from the drop-down menu.  In most cases the status will be Activated in which case the account is automatically activated and the user can begin using their account.  If the account has not been activated, the affiliate is unable to login and administer their account.  If the account has any status other than Activated, the affiliate cannot login to their account.

Date Joined -- Displays the date the affiliate joined for information purposes.

Web Site Information

Web Site URL -- Enter the fully-qualified URL of the affiliate's web site.  This is important for checking up on your affiliates to make certain they are not abusing the program and that their site is of quality.  (Ex. http://www.vbcode.com )

Web Site Title -- Enter the title/description of the affiliates web site for information purposes.  (Ex. Visual Basic code snippets and files.)

Referring Affiliate

Referring Affiliate Site (Optional) -- If this affiliate was referred by another affiliate and you are paying multiple tiers, select the referring affiliate.

Other Information

Default Language --  Select the default language for this affiliate.  When logging into the Affiliate Console the language will display in this format throughout the application.

Tax ID or Social Security Number or VAT Number -- Select then enter the Tax ID or Social Security number of the affiliate.  This may be required for tax purposes if your affiliate's volume of sales requires tax reporting to the IRS.

Address, City, State, Zip and Country -- Enter the street address, city, state, zip and country of the affiliate.  This is required for sending checks to affiliates in the event of a sale(s).

Telephone and Fax -- Enter the phone and fax number if available.

Comments -- Enter any optional comments regarding this affiliate.

Custom URL for Direct Links -- By default the Web Site URL specified under Preferences/Setup is used unless you specify a different URL in this field.  Also, if a custom URL has been specified for the Affiliate Type, it overrides the value in the preferences.  That value is then overrided if you specify a specific value for the Affiliate.

Landing Page Override URL -- Specifying a URL in this field will override each and every Banner, Text Link, Product URL, etc for this affiliate. Use this field with caution unless you are positive you wish to override ALL links.  This is most commonly used in the event that you have a malicous affiliate and wish to redirect all their traffic.

Custom Sale Posting URL -- If allowing affiliates to post sales data to a custom script on their web site, enter the URL in the box provided.  For more information on this topic, visit our web site.  A list of dynamic variables includes:

View Tiers
If you are running a multi-tier program, this option will display a flow diagram of all affiliates who signed up under another affiliate.  This information can be viewed for all affiliates or for a specific affiliate.
Pay Affiliates
This tool is used to compile affiliate commissions and pay your affiliates.  Please see the tools section for more information on running this tool.
Import

This option can be used to import a list of affiliates from another affiliate program provided the data is available in an ODBC-compliant database.  Supported formats include Excel, SQL, CSV and Access.

You can upload and import data from files such as Excel, Access, CSV, etc.  You can also connect directly to an existing database such as Microsoft SQL Server database.  Once you have successfully uploaded or connected to a database, the import wizard will allow you to select which fields you will be importing.

View Affiliate Prospects

This option allows you to view a list of your Affiliate prospects,  send history and opt out list.

How can I view the list of prospects my Affiliates have emailed?  To view the list of prospects your Affiliates have communicated with, click Affiliates, then click the last tab titled "View Affiliate Prospects".

This option will allow you to view:

  • A list of your Affiliate Prospects including their email address and the date they were imported into the system.
  • A send history of how many emails were sent, on what date, and to view the content that was emailed.
  • View the opt out list to see what prospects asked to be opted out of the system.

 

How do Affiliate's manage their prospects and send email marketing material to those prospects?

Once the email marketing feature has been enabled, affiliates can access this option from the Affiliate Console under the header titled "Manage Prospects".

Options include:

  • Prospect Lists -- All prospects are organized into lists so that prospects can be emailed by list.
  • Email Addresses -- Defines the list of prospects added into the system.  All prospects can belong to one or more Prospect Lists.  Prospects can be added individually, or imported in a list format.
  • Opt Out List -- Each time an email marketing campaign or "emal blast" is sent to a prospect, they will be provided with a link to opt out of the system.  Those who choose to opt out are displayed on the opt out list and cannot be re-imported in the future.
  • Send History -- This simply shows a history of all email blasts that were sent to prospects along with the content that was emailed.
  • Send Email Blast -- This option is used to send a new email blast or email marketing campaign to a prospect list.

Opt Out List

Affiliate Wiz supports both Affiliate Specific opt outs and a global opt out list.  A global opt out list is essentially a suppression list so that affiliates never send email marketing to addresses on that list.  You will also find an option under the affiliate type to force individual opt outs to also get placed on the global opt out list so other affiliates do not email the same person.

Categories

All promotional material/advertising media including banners, text links, products, etc. must be organized into groups.  This makes it easy for your affiliates to find the links they want to serve on their site.  For example, you might create categories such as this:

  • Banner Ads (125X125)
  • Banner Ads (468X60)
  • Text Links
  • Product Images
  • HTML Ads
  • Internal Advertising

Each category is assigned to one or more Affiliate Types.  This way you can limit which affiliates see specific types of media.  For example, you would limit Internal Advertising materials to the specific Affiliate Type(s) that you created for internal advertising.

View All
Use this option to view all categories already entered into the system.  To search for a specific category, enter a search term then click search.
Add New/Edit

Category Name -- Enter a brief description for the category.  For example "Banners (125X125)" or "Banners (468X60)", or "Text Links".

Affiliate Types -- Check one or more affiliate types to which the banners, links, products in this category will be shown.

Banners
Banners encompasses a wide array of advertising media that your affiliates can choose from to promote your site.  Banners can be any size.  The standard format is an animated GIF file but can also include Flash banners, HTML banners, Popup Windows, etc.  Banners are assigned to a specific category.
View Banners

Use this option to display a list of all banners in the system.  The following filtering options are available:

Banner Type --  Select the type of banner to display.  Standard banners are simple images, advanced banners are those where you specified the HTML for the banner.

Category -- Select a specific category to display only those banners in the category.

Search Term -- Enter a search term to search by banner name.

Display Banners -- Check this option to turn on the display of the banners so that the actual banner is displayed on the screen.

Add/Edit Banner

When adding a new banner or editing an existing banner, the following fields must be defined:

Banner Name -- Enter a descriptive name for the banner.

Category -- Categorize this new banner by selecting the appropriate category.

Archive -- Check to archive this banner. By archiving the banner will no longer be a selectable option in the Affiliate Console, however, if the banner is already live on an affiliate site it will continue displaying. Archiving will also remove the banner from any banner groups.

Image URL -- Enter the fully qualified URL of the image.  This must be the fully-qualified URL of the image including the http://www.  You can also use the  button to upload a new banner to the server.

Target URL -- Enter the target URL for this particular banner.  The Target URL is the URL where a person is taken when clicking the affiliate banner.   Use ##AffiliateID## if you wish to pass AffiliateID to web site.  For example:

http://www.mydomain.com/mypage.asp?sponsor=##AffiliateID##

Multiple Target URL's -- Use this option if you wish to specify multiple target URL's in order to alternate the target of each click.  For example, you might enter 3 URL's and give each a weight of 1 in order to equally spread the traffic amoung each target URL.  The weightings are relative weightings.

Override Direct Link Option for this Banner-- Choose this option if you are using Direct Links and wish to override the direct linking option for this particular item.

Alt Text -- Enter any Alt Text that should appear when the user hovers the mouse over an image.  

Width -- Enter the width of the advertisement in pixels.  For example, for the standard 468 X 60 ad you would enter a value of 468.

Height -- Enter the height of the advertisement in pixels. For example, for the standard 468 X 60 ad you would enter a value of 60.

Target Window -- Enter a target window.  This determines how the browser responds when clicking the banner.  For example, if using _Blank a new window is opened when the banner is clicked.  If using _Top the browser will open in the same window.

Optional Promotional Notes to Affiliates -- Enter any optional message to your affiliates.  When your affiliates are browsing the banners to display on their web site, these notes are presented along with the banner.

Add/Edit Advanced Banner

Advanced banners allow you to enter banners where you have full control of the HTML.  Advanced banners could be Javascript, HTML, Flash, Popup's, etc.  Fields are defined below.

Banner Name -- Enter a descriptive name for the banner.

Category -- Categorize this new banner by selecting the appropriate category.

Archive -- Check to archive this banner. By archiving the banner will no longer be a selectable option in the Affiliate Console, however, if the banner is already live on an affiliate site it will continue displaying. Archiving will also remove the banner from any banner groups.

Banner Code -- Enter the full HTML code for your banner.  The code must contain [AffiliateWizTargetURL] in order for clicks to be tracked and in order for affiliates to get credit for the sale.

Example:  Suppose you are entering a simple image using an IMG SRC HREF tag.  An example would be:

Note there is no URL in the above HTML.  Rather, the URL was replaced with [AffiliateWizTargetURL].  The actual URL is placed in the Target URL field.

Add Flash

Use this option to add a flash banner into Affiliate Wiz.  Before adding your flash banner, be sure you programmed the flash movie so the clicks will be tracked.  This is vital otherwise affiliates will not get credit for the sale.

Now that the flash movie has been programmed for click tracking, you can enter it into Affiliate Wiz by following these steps.

  1. Click the Add Flash option.
  2. Choose the type of Flash Code you wish to use

    Use the code that detects whether or not flash is installed on the persons computer.  If flash is not installed, an image will be served instead.
    OR
    Use the code that will prompt the user to download flash if it is not already installed on their computer.

  3. Click Next, then populate these fields:

    Enter the full URL of the Flash SWF file  -- This is the URL to the flash movie.  For example, http://www.mydomain.com/mymovie.swf

    Enter the full URL of an alternative Image to be used for browsers that do not support flash  -- Enter the URL to an image that will be displayed in the event that the users browser does not support flash.

    Enter the Target URL-- This is the URL where the person is sent after clicking the flash movie.

    Enter the Width and Height of the SWF file in pixels.

    Select the Click Tracking Variable -- Select or enter the click tracking variable that was programmed into the Flash movie.  The variable name is case sensitive.  For example, clickTAG is not the same as ClickTag because of the case difference.

  4. Click next.  Affiliate Wiz will then populate an advanced banner containing the proper flash object code. 

  5. Set the Banner Name, choose a category,  and modify any other fields you wish then click  to insert the banner.

 

Import

Use this option to import banners from any ODBC-compliant database.

Add Popup or Popunder

This wizard allows you to easily add a popup or popunder banner in Affiliate Wiz.  The popup can contain an image or HTML that you specify.  Follow these steps to add a popup or popunder:

  1. Choose the type of content you will be displaying.  If the content is an external web page then only impressions can be counted.  If the popup is simple HTML or an Image then both impressions and clicks can be counted.

    Choices include:
    a) My popup content is an Image.  Both impressions and clicks will be counted.
    b) My popup content is simple HTML that I will specify.  In order to track clicks I will embed [AffiliateWizTargetURL] for any links.

  2. Click Next.  If your popup is an Image, Enter the full URL of the image to display along with the width and height of the image in pixels.

    If the popup is HTML, Enter the HTML content you wish to display: (Note: Use the [AffiliateWizTargetURL] parameter to track clicks on your links.)
  3. Next, Specify the Properties of the popup/pop under window.  These properties include the Window Type (Popup or Popunder), whether or not the window will contain a toolbar, status bar, menu bar or scroll bars.  Also determine whether the window is resizable.  Last, specify the window width and height.  Typically the width and height should be a few pixels larger than the image or content itself.
  4. Last, click next step and an Advanced Banner is pre-populated with the HTML/Javascript for displaying the popup.
  5. Assign a banner name, choose a category, then click  to insert the banner.

 

 

Add Data Feed

Use this option to add a data feed.  A data feed is a feed of a specific web page whereby all links will be tracked for the affiliate.

Banner Name -- Enter a descriptive name for the data feed banner.

Category -- Categorize this new banner by selecting the appropriate category.

Archive -- Check to archive this banner. By archiving the banner will no longer be a selectable option in the Affiliate Console, however, if the banner is already live on an affiliate site it will continue displaying. Archiving will also remove the banner from any banner groups.

Full URL of Web Page -- Enter the Full URL including http:// to the web page that you wish to display.  The URL must be fully routable and cannot be an address that is internal to your company.

Caching Period (Hours) -- In order to speed up serving data feeds, Affiliate Wiz will cache the page in the server's memory.  Specify how often the page should be flushed from the cache in hours.  If the page is static and does not change often then a large value will work.  If the page changes often then use a lower value.  Enter 0 to never cache the page.

Optional Promotional Notes to Affiliates -- Enter any optional message to your affiliates.  When your affiliates are browsing the banners to display on their web site, these notes are presented along with the banner.

 

Banner Groups
Banners can be organized into groups so that affiliates can rotate banners in a single space on their web site.  The banners can be set to rotate on refresh or set to rotate every X seconds.  The automatic rotation works only in IFRAME compatible browsers.
View All
Displays a list of all banner groups that have been created.  To search for a specific banner group, enter a search term then click search.
Add/Edit Banner Group

When creating or editing a banner group, the following fields are defined:

Group Name -- Enter a descriptive name for the group.

Group Description -- Enter an optional description that will be displayed to Affiliates when obtaining links in the Affiliate Console.

Width -- Enter the width of the group.  For example, for the standard 468 X 60 ad you would enter a value of 468.

Height -- Enter the height of the advertisement. For example, for the standard 468 X 60 ad you would enter a value of 60.

Refresh Interval -- Use this option to automatically load a new banner from the group every X seconds.  If an affiliate places a banner group on their web site, and you set the value to 10 seconds, every 10 seconds a new banner appears while a web visitor is sitting idle on the page.

Banners -- Select and weight the banners to include in this group.  Note that all selected banners MUST BE THE SAME SIZE AS THE GROUP.  If you don't follow this rule some of your banners will be cut off or they will be surrounded by a large white space depending on their size relative to the group size.

The weightings are relative to the other banners in the group.  A higher weighting will result in the banner being shown more often then the others.  All selected banners must have a weighting of 1 or higher.

Note: Unlike previous versions, weightings are relative and do not need to sum to 100.

Text Links
The text links option is used for creating basic text links.  Affiliates can promote your site by placing these links on their web site, in newsletters, etc.
View All
Displays a list of all existing text links.  Use the filter option to view standard versus advanced text links, to filter by specific category, or to search for a specific term.
Add/Edit Text Link

When adding a new text link or editing an existing text link, the following fields must be defined:

Link Text -- Enter the text that will be used for the link.  For example, "Click here to visit mydomain.com".

Category -- Categorize this new link by selecting the appropriate category.

Archive -- Check to archive this banner. By archiving the banner will no longer be a selectable option in the Affiliate Console, however, if the banner is already live on an affiliate site it will continue displaying. Archiving will also remove the banner from any banner groups.

Target URL -- Enter the target URL for this particular link.  The Target URL is the URL where a person is taken when clicking the affiliate link.   Use ##AffiliateID## if you wish to pass AffiliateID to web site.  For example:

Advanced text links allow you to define your own HTML for the link.  This provides more control over the link allowing you to add font formatting tags.  Fields are defined as fllows:

Description -- Enter a short description for this link.

Category -- Categorize this new link by selecting the appropriate category.

Text Link Code -- Enter the HTML code for this text link. The code must contain [AffiliateWizTargetURL] in order for clicks to be tracked and in order for affiliates to get credit for the sale.

Products
The products option is used for adding product images.  This will allow affiliates to link to specific products in your store.  It is not necessary to display all products in your store as Affiliate Wiz pays commissions on the total amount of the sale and not on specific products. 
View All
Displays a list of all products that have been entered into the system.  Products can be filtered by Category,  or searched by product name.  To show the actual product images, check "Display Product Images".
Add/Edit Product

Email Creative

The email creative option is utilized to add email marketing creative into your affiliate program.  Affiliates can then copy the HTML code and paste it into their email software in order to email their prospects.

In addition, Affiliate Wiz includes an option to allow affiliates to email this creative to their prospects directly from within Affiliate Wiz.  This option is enabled by editing each Affiliate Type and checking the box titled "Allow Affiliates to Send Email Marketing Messages to their prospects" which is found in the "Email Marketing Options" section.

View Email Creative

Use this option to display a list of all email creative in the system.  The following items are displayed:

Name/Description --  The name or description of the email creative.

Clicks -- Represents the number of clicks that resulted from sending this email creative.

Opens/Views -- Represents the number of times this email creative was viewed, or opened in an email client.

Display Banners -- Check this option to turn on the display of the Email Creative so that the actual email creative is displayed on the screen.

Add New Email Creative/Edit

When adding a new email creative or editing an existing email creative, the following fields must be defined:

Creative Name -- Enter a descriptive name for the Email Creative.

Category -- Categorize this new email creative by selecting the appropriate category.  It is recommneded that your category name include the word "Email".

Email Creative Text or HTML -- Enter the TEXT or HTML for the email creative.  Links in the HTML content must be formatted with this syntax:

<a href="http://www.somelandingurl.com">my link text</a>

If the content is HTML, it must contain proper HTML and BODY tags such as <HTML><BODY></BODY></HTML>

Affiliate Wiz will automatically attempt to insert the tracking code of [AffiliateWizTargetURL] in front of each and every link.

Target URL -- Enter the target URL for this particular Email Creative.  If the creative contains multiple links, Affiliate Wiz will automatically handle the tracking by inserting [AffiliateWizTargetURL] in front of each and every link.

Override Direct Link Option for this Email Creative-- Choose this option if you are using Direct Links and wish to override the direct linking option for this particular item.

Optional Promotional Notes to Affiliates -- Enter any optional message to your affiliates.  When your affiliates are browsing the Email Creative to display on their web site, these notes are presented along with the Email Creative.

Sales
Displays a list of all sales that have been recorded in the system.  Sales are recorded when a person clicks through on an affiliate site and makes a purchase on your web site. 
View All

Displays a listing of all sales that have been registered under affiliates.  Sales can be filtered by these criteria:

Pending/Approved -- Approved sales are those that have already been accepted.  If sales are set to be automatically approved for an Affiliate Type they will immediately appear as approved when the sale is made.

Valid/Invalid -- Sales marked as invalid will never be paid to an affiliate.  You may wish to delete a sale once it has been marked as invalid. 

Affiliate Type, Affiliate, Tier, Month/Year, and Search Term

Add/Edit Sale

Sales are automatically registered in Affiliate Wiz each time a sale is made.  Once registered you can manually modify a sale if necessary.  Once a sale has been paid it cannot be modified.  If a chargeback occurs for a sale that has already been paid, you should add a new sale with a negative commission to balance out the existing sale.  If the sale has not been paid it could be deleted.  Fields are defined as follows:

Order Number -- Enter the Order Number/Tracking ID for the sale.  This should match the Order number used in your Sales Tracking system so that you can reconcile the sales with a valid sale in your online store.

Order Date/Time  -- The date and time when the sales was made.  When adding a new sale this value defaults to the current date/time.

Sale Amount -- Enter the total amount of the sale.

Sale Accepted -- Check this box if the sale has been accepted.

Sale Valid -- Check this box if the sale is valid.  This feature is used to invalidate a sale should a sale become a chargeback or fraud.  If the sale is invalid you can also enter a reason why it is invalid.

IP Address -- Indicates the IP address of the purchaser.

Browser -- Indicates the Browser Header of the purchaser's browser.

Days To Convert -- This field is displayed for information purposes and cannot be modified.  The field indicates the number days between the time when the person clicked the affiliate banner/link and made the purchase.

Country  -- Enter the country to which the sale was made.  For US orders you can enter the state.  This is an optional parameter.

Optional 1- Optional 3 -- These are three optional fields that can be used to track additional information about each sale.  These fields are defined in the preferences/setup area.  For example, you may wish to record information on what product was purchased or any other fields regarding the customer.

Tier X Commissions -- Specifies the commission for the sale including the affiliate who made the sale and whether or not the commission has been paid.  Once a sale is paid you cannot modify these fields.  When adding a new sale, you only select the Tier 1 affiliate.  The commissions and tiers are then automatically computed.

Tier X Affiliate -- From the drop-down menu select the affiliate who this sale is to be assigned to.

Tier X Commission -- Enter the commission amount on the sale.  NOTE:  If you let this field blank Affiliate Wiz will automatically calculate the commission based on the Affiliate's Rate.

Paid  -- Indicates whether or not this commission has been paid.

View Recurring
The View Recurring option is used to view any currently recurring sales.  A recurring sale is used to credit affiliates on a periodic basis.  This is useful if you sell monthly subscriptions and want to reward the affiliate for these recurring subscriptions.   Recurring sales that have been added to the system cannot be modified, they can only be deleted and re-created.

NOTE: Once a recurring sale has completed,  the recurring sale is deleted from the system.

Add/Edit Recurring
A recurring sale is used to credit affiliates on a periodic basis.  This is useful if you sell monthly subscriptions and want to reward the affiliate for these recurring subscriptions.   Recurring sales that have been added to the system cannot be modified, they can only be deleted and re-created.  If the customer discontinues the sale you must manually delete the recurring sale in Affiliate Wiz otherwise the affiliate will continue to get credited for the sale.

Use this option to add a new recurring sale.  Fields are outlined below:

Order Number -- Enter the Order Number  for the sale.   You might consider adding _REC or some other indicator that this is a recurring sale.

Sales Amount-- Enter the total amount of the sale.

Affiliate --  From the drop-down menu select the Tier 1 affiliate who this sale is to be assigned to.

Sub Affiliate ID: If this sale is associated with a sub affiliate, enter an identifier of up to 10 characters.

Commission -- If you would like to override the affiliates commission rate, enter the commission as a flat rate.  Do not enter a percentage.  If you leave this field blank, Affiliate Wiz will automatically calculate the commission using the rate taken from the Affiliate TYpe.  For example, if the sale is $100 and you would like to reward the affiliate 10% then assign $10 commission.  Do not assign the rate such as .10

Country-- Enter the country to which the sale was made.  For US orders you can enter the state.  This is an optional parameter.

Optional Field 1-3 -- If collecting any optional sales data you can enter it in these fields.

Apply Tier X commissions -- If you are running a multi-tier program, select this option to automatically assign any Tier X commissions to referring affiliates.  

Frequency -- Enter  the frequency in days that this recurring sale will be assigned to the affiliate.  For example, if this is a monthly subscription, enter 30 to credit the affiliate every 30 days for this sale.  

Repeat -- Enter the number of times to credit the affiliate for this sale.  For example, entering 12 will credit the affiliate 12 times, once every 30 days.  As a result, the affiliate earns commissions for 1 year on this sale and is credited once per month.

Apply First Commission Now -- Check this option to apply the first commission immediately.  If you do not check this option, the first sale is credited after the number days defined by the frequency.  For example, if the Frequency is every 30 days the first sale would not be credited for another 30 days.

Click Add Recurring Sale to add the recurring sale to the database.  Affiliates are not notified of recurring sale commissions by email.

NOTE: Once a recurring sale has completed,  the recurring sale is deleted from the system.

Import
Use this option to import sales from an ODBC-Compliant database.
Leads
Leads are used to track conversions that do not have a monetary value.  Conversions with a monetary value are typically recorded as sales.  For example, if you have signup page for requesting more information you would typically record the signup as a lead and pay a flat rate for the lead.
View All

Displays a listing of all leads that have been registered under affiliates.  Leads can be filtered by these criteria:

Pending/Approved -- Approved leads are those that have already been accepted.  If leads are set to be automatically approved for an Affiliate Type they will immediately appear as approved when the lead is made.

Valid/Invalid -- Leads marked as invalid will never be paid to an affiliate.  You may wish to delete a lead once it has been marked as invalid. 

Affiliate Type, Affiliate, Tier, Month/Year, and Search Term

Add/Edit Lead

Leads are automatically registered in Affiliate Wiz each time a lead is made on your web site.  Once registered you can manually modify a lead if necessary.  Once a lead has been paid it cannot be modified.  Fields are defined as follows:

Lead Number -- Enter the Lead Tracking Number for this lead.  This should match the unique identifier used in your system so that you can reconcile the leads with a valid lead in your online system.

Date/Time  -- The date and time when the lead was recorded.  When adding a new lead this value defaults to the current date/time.

Lead Accepted -- Check this box if the Lead has been accepted.

Lead Valid -- Check this box if the Lead is valid.  This feature is used to invalidate a Lead should a Lead become a chargeback or fraud.  If the Lead is invalid you can also enter a reason why it is invalid.

IP Address -- Indicates the IP address of the lead.

Browser -- Indicates the Browser Header of the lead's browser.

Days To Convert -- This field is displayed for information purposes and cannot be modified.  The field indicates the number days between the time when the person clicked the affiliate banner/link and converted to a  lead.

Optional 1- Optional 3 -- These are three optional fields that can be used to track additional information about each Lead.  These fields are defined in the preferences/setup area.  For example, you may wish to record information on what product was purchased or any other fields regarding the customer.

Tier X Commissions -- Specifies the commission for the Lead including the affiliate who made the Lead and whether or not the commission has been paid.  Once a Lead is paid you cannot modify these fields.  When adding a new Lead, you only select the Tier 1 affiliate.  The commissions and tiers are then automatically computed.

Tier X Affiliate -- From the drop-down menu select the affiliate who this Lead is to be assigned to.

Tier X Commission -- Enter the commission amount on the Lead.  NOTE:  If you let this field blank Affiliate Wiz will automatically calculate the commission based on the Affiliate's Rate.

Paid  -- Indicates whether or not this commission has been paid.

Import
Use this option to import leads from an ODBC-Compliant database.
Tracking Code
This option produces that tracking code that is used for tracking sales and/or leads.  This code is placed on the confirmation page of your store, or the confirmation page of your signup form.
Sales Tracking Code

In order to track sales and leads, you must embed tracking code on the confirmation page of your online store (for sales), or on the confirmation page of a signup form for leads.  This tracking code triggers Affiliate Wiz to record the sale or lead under an affiliate provided a cookie is found on the web visitors computer.  The tracking code is basically a hidden image which passes the proper information back to Affiliate Wiz.  In the case of sales tracking, this information includes the order number and the sales total.

Affiliate Wiz automatically produces the sales tracking code, however you must modify the code to dynamically populate the sales amount and order number.  To add the sales tracking code to your confirmation page, copy and paste the code produced by Affiliate Wiz.  The code will appear similar to that shown below.  Fields which can be changed are shown in Green.

= Sales Order Number

Other Optional Parameters  These options can be used to override any fixed affiliate rates and commission types.

Optional1, Optional2, Optional 3 = These three optional fields can be used to store optional information about the lead.  Up to 25 characters can be stored in each field.

Commission1 = Optional overriding commission rate for Tier 1 sales.  If specified, this rate is used rather than the affiliates individual rate.

Commission2 ...  Commission5 = Optional overriding commission rate for Tier 2 through Tier5 sales.  If specified, this rate is used rather than the affiliates individual rate.

CommissionType = Option overriding commission type.  Valid values are FlatRate and Percent.  This field is used in conjunction with Commission1 through Commission5.



Recurring Sales Tracking Code

Use this code to track recurring sales on your web site.  This code should be placed on the confirmation page of your web store.  

You must dynamically populate the following parameters:

Order_Number (Number or Text) = Sales Order Number

Total_Amount
(Number) = Total Amount of the Sale

Frequency (Integer in Days) = Enter  the frequency in days that this recurring sale will be assigned to the affiliate.  For example, if this is a monthly subscription, enter 30 to credit the affiliate every 30 days for this sale.  

Repeat (Integer in Days) = Enter the number of times to credit the affiliate for this sale.  For example, entering 12 will credit the affiliate 12 times, once every 30 days.  As a result, the affiliate earns commissions for 1 year on this sale and is credited once per month.

IncludeTiers (True/False) = If you are running a multi-tier program, set this option to True to automatically assign any Tier X commissions to referring affiliates.

Other Optional Parameters  These options can be used to override any fixed affiliate rates and commission types.

Optional1, Optional2, Optional 3 = These three optional fields can be used to store optional information about the lead.  Up to 25 characters can be stored in each field.

Commission1 (Optional)= Optional Commission Amount for Tier 1.  If not specified, then Affiliate Wiz will use the Commission Amount that has been specified for each individual Affiliate.  If this parameter is specified then individual Affiliate Rates are ignored and this value is utilized.

Affiliate Signup Page
Use this option to create a custom signup page for affiliates to signup for your affiliate program.  This option will also display your default signup page containing all available fields.
Creating A Signup Page

A default signup page is automatically created by Affiliate Wiz.  For most customers this default signup page should be adequate.  The page is called join.aspx and is found in the root folder where you installed Affiliate Wiz.  When clicking the "Affiliate Signup Page" link in the Affiliate Wiz administration console a link to the default signup page is provided.

To customize this default join.aspx page, choose the Default Signup Page tab and select the options you want to appear on the form.

If you wish to customize and create a separate signup page you can create an HTML signup page by clicking "Affiliate Signup Page" then selecting which fields you wish to include.  These fields can be made optional or required.  Once finished, the HTML is produced and can be copied and pasted onto any web page on your web site.

Signup Page Error Messages -- Use this option to customize error messages that are displayed to affiliates when attempting to signup.

Auto Responses
The auto-response feature allows you to send out auto response emails based on triggers that include:
  • Affiliate Joins
  • Affiliate Refers another Affiliate
  • Updates account
  • makes Nth sale or nth lead during specified period

For example, you might send a specific message to an affiliate after they make their very first sale.  This will show them their marketing is working and encourage them to spend additional time promoting your web site.

Viewing/Adding Auto Responses

Activity That Triggers Auto Response

Select the activity that will trigger the auto response.  Options include:

  • Affiliate Joins
  • Affiliate Refers another Affiliate who joins program
  • Affiliate Updates account
  • makes Nth sale or nth lead during specified period
  • Affiliate Commission is Compiled -- This option triggers when you run the tool to pay affiliates.  For example, you might use this to automatically email an earnings summary or email a message for them to upload an invoice.

Apply when importing (Applies only to trigger type of Affiliate Joins) -- If you choose a trigger of "Affiliate Joins", you have the option to also apply this trigger if you are importing Affiliates using the Import tool.

Affiliate Types -- This option allows you to limit the trigger to a specific affiliate type.

Auto Response Information

Send Auto Response Immediately after activity.  Currently auto-responses can only be sent immediately and cannot be scheduled.  Future versions may allow scheduling.

Allow to repeat unlimited times -- Choose this option if you wish to allow the auto response to trigger multiple times to the same affiliate.

Auto Response Content

Specify the Text or HTML content that will be emailed to the Affiliate. HTML messages must contain these tags: <HTML><BODY></BODY></HTML>

Email Message Subject -- Specify the subject of the email message that will be sent when the auto response is triggered.

Email Message Body -- Specify the body of the email message that will be sent when the auto response is triggered.  If the message is HTML it must contain these tags:

Optional File Attachments -- You can upload and attach a file to the auto response email message.

 

View Delivered Auto Responses

This options simply displays a list of all auto responses that have been delivered.

Information includes:

  • The Delivery Date/Time
  • The specific Affiliate who received the email.
  • The activity that triggered the response.
  • The subject of the email message.
Reports

Reports is where you monitor the performance of your affiliates and overall affiliate program.  Many different types of reports and charts are available to look at Sales, Leads, Impressions, Clicks, trends, conversion times, most effective banners, most effective affiliates, etc.

Summary Report

Member Summary -- The member summary indicates the total number of affiliates belonging to your affiliate program.  The Total Pending Affiliate Accounts indicates the number of members that have not yet been activated.  Total Traffic/Clicks driven to site represents the total clicks sent to your site through your affiliate program.

Sales, Lead and Per Click Summary -- Summarizes the total number of Sales, Leads and Clicks including Valid, Invalid and Pending.  The clicks include only those paid on a pay-per-click basis.  Commission values are shown for all tier levels.

Custom Reports

The following reports are available:

Customizable Clicks/Leads/Sales Summary Report -- Displays a summary of Clicks, Leads and Sales, Click Through Rate, Earning Per click, etc for a specified period. This report can be broken down by Affiliate Type, Affiliate, SubAffiliateID, Banner/Link/Product, or Category. The report can be grouped by various dates.  This report replaces the previous reports titled Clicks/Leads/Sales Summary, Clicks/Leads/Sales By Day and Clicks/Leads/Sales By Day By Affiliate

Trend Graphs -- Displays a trend graph of Impressions, Clicks, Sales, Sales Amount, Leads, and total commissions.

Payment Summary -- Diplays a summary of commissions paid out during a specified period.   The payment detail shows the individual payout detail for each payment.  If a payment history record is deleted all sales for that payout will be un-marked and no longer appear as paid.

Affiliate List -- Displays affiliate detail for all affiliates who joined during a specified date period.

Sales Summary -- Displays a summary of sales and sales commissions.  This information can be broken down by Affiliate Type, Affiliate, Date, Banner, Category, and Optional Fields 1-3.  Information includes Revenue, Sales Commission, Number of Sales, and average conversion time in days.

Lead Summary -- Displays a summary of leads and lead commissions.  This information can be broken down by Affiliate Type, Affiliate, Date, Banner, Category, and Optional Fields 1-3.  Information includes Lead Commission, Number of Leads, and average conversion time in days.

Click Summary -- Displays a summary of click commissions.  This information can be broken down by Affiliate Type, Affiliate, Date, Banner, Category, IP and Browser header.  Information includes number of clicks and click commissions.

Impressions/Clicks -- Displays Impressions, Clicks and click rate.  This information can be broken down by Affiliate Type, Affiliate, Date, and Banner/Link/Product or Group.

Sales Detail -- Displays detailed information on sales for a specific period.

Lead Detail -- Displays detailed information on leads for a specific period.

Pay Per Click Click Detail -- Displays detail on individual clicks for Pay Per Click affiliates.  This includes IP Address, Browser Header, Date/Time, Banner Name, Affiliate Name, etc.

Recent Clicks -- Displays detail on all recent clicks including all clicks even if they did not qualify for PPC commissions. This includes IP Address, Browser Header, Date/Time, Banner Name, Affiliate Name, etc. This information is typically available only for the last 72 hours.

Inactive Affiliates  -- Summarizes affiliates that are inactive due to no Impressions, Clicks, Sales or Leads during a user-defined time period.

Active Affiliates -- Summarizes those affiliates that are active based on having one or more impressions, clicks, sales or leads during a specific time period.

Banner Effectiveness  -- Summarizes which banners are performing better than others based on Impressions, Clicks, Click Rate, Sales, Leads or Revenue.

Email Reports
The Email Reports option allows you to setup email reports that can be delivered daily, weekly, or monthly and contain data for the yesterday, the past week, and the previous month respectively.
View Email Reports

This option will display a list of all scheduled Email Reports.  Items include:

Name -- The Report Name.

Affiliate Generated -- If this report was created by an Affiliate a value of True is presented.  If created by an admin user the value is False.

User -- If this report belongs to a specific user, the user is displayed.  If this report was created by the overall administrator, this field will display "**Overall Administrator ".  If created by an affiliate ** Affiliate is shown.

Email Address -- Displays the email address that receives this report.

Report Period -- Displays the report period which can be Yesterday, Last Week, Last Month.  Yesterday reports are typically sent just after midnight each day.  Last Week reports are sent on Sunday and span last Sunday through Saturday.  Monthly reports are sent on the first day of each month and cover the previous month.

Date Last Sent -- Indicates the date/time this report was last delivered.

 

Add/Edit Email Report

Email Reports can be scheduled to be delivered each day, week or month.  Yesterday reports are typically sent just after midnight each day.  Last Week reports are sent on Sunday and span last Sunday through Saturday.  Monthly reports are sent on the first day of each month and cover the previous month.

Report Name -- The Report Name.

Recipient Email-- The email address that will receive this report.  If this report was created by an affiliate this field is not editable.

Report Email Subject  -- Enter the email subject that will be used when sending this report.

Optional Email Body Text  -- Enter any optional text/html to appear at the very beginning of the report.

Date This Report Was Last Sent -- Indicates the date/time this report was last delivered.

Report Options

Affiliate Type-- To limit this report to a specific Affiliate Type, choose one from the drop-down menu. If this report was created by an affiliate this field is not editable.

Affiliate -- To limit this report to a specific Affiliate, choose one from the drop-down menu. If this report was created by an affiliate this field is not editable.

Report Period -- Select the report period which can be Yesterday, Last Week, Last Month.  Yesterday reports are typically sent just after midnight each day.  Last Week reports are sent on Sunday and span last Sunday through Saturday.  Monthly reports are sent on the first day of each month and cover the previous month.

Report Types Available --  Available report types are shown below.  All reports are available in either HTML format or as a .csv file attachment.  Reports are emailed even if no data is available.

Affiliate Signup Report -- This report displays a list of Affiliates who have joined during the report period.  If this report was created by an affiliate this field is not editable.

Sales Detail -- Displays details of each sale recorded during the period.

Lead Detail -- Displays details of each lead recorded during the period.

Recent Clicks/Click Detail -- This report is only available for a report period of yesterday.

Tools

Several tools are provided for performing various tasks.  These include resending an affiliate acceptance notice, sending an email broadcast to your affiliates, paying affiliates, emailing earnings summaries, and sending links to your affiliates.

Summary Of Tools

Send Email Broadcast to Affiliates -- Use this tool to send an email message to one or more affiliates.  This tool works great to notify affiliates of changes or updates to your affiliate program.  Messages can be delivered in text or HTML format.

Affiliate Type/ Specific Affiliates -- Use these options to determine who will recieve the message.

Use Filtering -- Check this option to filter the list of affiliates.  You can filter by Sales Revenue, Sales Commissions, Number of Sales, Number of Leads, Number of Clicks, Number of Impressions, Join Date, and Payment Amounts.

From Name/ From Email -- Enter the return email address.  By default this is the administrator's email address.  Also enter the From Name.

Subject -- Enter the subject of the email message.

Message -- Enter the message that should be sent to the recipients.  HTML messages MUST contain the <body><html> and closing </body></html> tags.  Always send yourself a test message to be sure it is formatted properly.

Click "Send Email Message" when you are ready to send the message.  Note that each email will be sent individually so that members WILL NOT see the email addresses of other members.

Pay Affiliates/Compile Commissions -- Use this tool to compile the affiliate commissions and create a payment history record.  Affiliate commissions that meet the minimum payout amount will be marked as paid.  Once marked as paid, you can email the earnings summaries or export the data to excel.

Begin Date/ End Date -- Select the date period from which commissions are to be tabulated.  Be sure the date periods selected cover the earliest unpaid commission.  The earliest unpaid commission will be noted on the screen.

Affiliate Types/Affiliate -- If you would like to pay only specific affiliates or affiliate types then use these options to filter the list.

Minimum Payout -- Enter the minimum payout amount.  For example, entering $50 will result in only paying affiliates who have earned at least $50 during the period.  If this field is left blank, the minimum payout amount specified for each affiliate type will be used.

Mode

Mark As Paid, Create Payment History Record -- This option will mark all commissions as paid and create a payment

Preview Only, DO NOT mark as paid -- This option compiles the commissions in preview mode only.  The commissions are not marked as paid.  This mode allows you to preview your liability and then you can re-run the tool once more to mark the commissions as paid.

Comments -- Enter comments that will be visible to affiliates.  For example, "January 2012 commissions".

Once the commissions have been compiled, you will be given the option to email the earnings summaries to Affiliates or Export the data to Excel.

Export Payment Data to Excel, Paypal, Quicken, or QuickBooks.

Email Earnings Summaries to Affiliates -- Use this tool to email Affiliates their earnings summaries.  Before you can run this tool you must first use the "Pay Affiliates" tool and compile the commissions.  This message can only contain text.  Earnings data will be appended to the end of the message.

Email Affiliate Links to Affiliates -- Use this tool to send an email message to one or more affiliates containing affiliate banners/links to be added to their web site.  Affiliates can then copy and paste the links to their web site.  This is useful to send new links that you have just added to your program.  You will also find an option to choose between Active and Archived links.  Archived links are those no longer visible to Affiliates.  You may wish to periodically email the archived links to affiliates asking them to remove them from their web site.

Re-Index All Tables in Database -- Periodically (perhaps monthly) you should perform a database reorganization on all the indexes on all the tables in your database. This will rebuild the indexes so that the data is no longer fragmented. Fragmented data can cause SQL Server to perform unnecessary data reads, slowing down SQL Server's performance.

This tool will automatically reindex every index in every table of any database you select, and provide a fillfactor of 90%.  When DBCC DBREINDEX is used to rebuild indexes, keep in mind that as the indexes on a table are being rebuilt, that the table becomes unavailable for use by your users. For example, when a non-clustered index is rebuilt, a shared table lock is put on the table, preventing all but SELECT operations to be performed on it. When a clustered index is rebuilt, an exclusive table lock is put on the table, preventing any table access by your users. Because of this, you should only run this command when users don't need access to the tables being reorganized. 
 

Update/Modify Banner/Link URL's -- Use this tool to update the URL or IP address of all banners and links in the system.  This is useful if you have moved Affiliate Wiz to a different URL or IP.

Delete Old Statistics -- Use this tool to delete old Statistics prior to a specific date.  Use this tool with caution.

Name -- Enter the name of the user.

Email Address -- Enter the email address of the user.

Login Name -- Enter a login name for the user (up to 50 characters).

Login Password -- Enter a password for the user (up to 50 characters).

Permissions -- Select specific permissions for this user.

Affiliate Types-- Select the Affiliate Types you wish to limit this user to viewing.  This will also determine what Affiliates, Categories, Banners, Links, sales, leads, etc. can be viewed by the Affiliate. 

Preferences/Setup
This is where you define import defaults used throughout the program.
Setup Defaults

Login Information

Administrator Name --  Enter the username for the administrator account.  This username is used to login to the admin console.

Administrator Password -- Enter the password for the administrator account.  This password is used to login to the admin console.

Administrator Email -- Enter the administrator email to which all administrative messages are sent.  This is also used as the From email when sending messages to affiliates.  The administrator address will also be notified each time a new affiliate joins your affiliate program.  

Email Server Information

Mail Server Address -- Enter the name of the mail server.  The mail server must be an SMTP compliant mail server.  To specify a port, use a comma after mail server address then the port number.

Use an SSL Connection -- Check this box if your mail server requires a secure connection. For example, this is required to send messages through smtp.gmail.com.

Mail Server UserName (if required) -- If your SMTP server requires authentication, enter the username and password.  Leave these fields blank if authentication is not required.

Mail Server Password (if required) -- If your SMTP server requires authentication, enter the username and password.  Leave these fields blank if authentication is not required.

Email From Name -- All emails sent by Affiliate Wiz will originate with this "From Name"

Email From Address --  All emails sent by Affiliate Wiz will originate with this "From Email Address"

Email Character Set -- Use this option to specify a custom character set used for all email messages.

 Email Notifications

Email Administrator each time a sale is recorded --  Check this option if you wish to be notified each time a sale is made.

Notify me to pay Affiliates on the  --  Use this option is you wish to be notified to pay your affiliates.  Up to two notifications can be specified on various days of the month.

Default Options

Web Site URL (homepage) -- Enter the URL for the homepage of your web site.  In the event that a person cannot be redirected for a link they are sent to this page.

Web Site Name -- Enter the name of your web site.  For example, "John's Book Store".  This will be used in many of the various email messages.  For example, when a new member joins your program the message subject will be "John's Book Store Affiliate Program".

URL of AffiliateWiz Program -- Enter the fully-qualified URL to the aw.aspx script.  This parameter will automatically be set the first time you visit this screen.  Although it is set, the change does not take effect until you update your preferences.

Affiliate Signup/Information page --  If you are running a multi-tier program, enter the page where users should be redirected when following through from one of your affiliate sites.  This could be an Information Page with information about your affiliate program.  Alternatively, you might take them to an agreement page, or directly to the join.asp page where members can signup.  For example, if Affiliate John is promoting your affiliate program, and someone clicks through with an interest in joining, this is the page they will be taken to for more information or to signup.

Base File path of Software -- Specify the server's physical file path to the location where Affiliate Wiz is installed.  This path is required in order to load the language files. 

File Upload Path -- Enter the physical server path where ads will be uploaded to.  The default folder is an "ads" folder in the root folder where Affiliate Wiz was installed.  For example:  C:\inetpub\wwwroot\affiliatewiz\ads\

File Upload URL -- Enter the URL that corresponds to the above file path.  For example, http://www.mydomain.com/affiliatewiz/ads/

New Affiliates Require Validation -- Check this option if you want to manually review each affiliate application when they signup.  If unchecked then affiliates are automatically accepted and can immediately login and begin placing ads on their site.  For members that require validation, they are emailed the "Pending Member Message" defined under Preferences/Setup--Email Messages.  For automatic approval, they are sent the "New Member Email Message".

Disable Welcome Email Message -- This option should only be used if you have defined an Auto Response and you are preventing multiple welcome email messages from being sent

Allow Affiliates to Edit their Accounts  -- Check this option to allow users to edit their accounts.  Affiliates can update their address, username and password, etc.  Note that this is a global parameter and cannot be specified for individual affiliates.  

Email Administrator when affiliate account is updated -- Choose this option to email the administrator when an affiliate updates their account.  Both the old and new information is emailed to the administrator.

Require unique clicks every  -- Enter an integer value specifying the amount of hours that must lapse before a second click by the same user will be counted in the database.  Note that this is specific to each banner so it is still possible for a user to click on all banners at any time and each will count once.  This feature is very important for Per Click Affiliate programs because you do not want users artificially inflating the numbers by repeatedly clicking a banner.  As an example, if I set the value to 2, and continually click on the same banner for 24 hours straight, only 12 of the clicks will be counted (1 every 2 hours).  It is customary to set this value to 24 so that a user's click will only count as 1 per day.

Cookie Name  -- Use this option to specify a custom cookie name.  The default is AffiliateWizAffiliateID.

Default Cookie Expiration -- Enter the number of days that cookies will be valid.  For example, if you enter 365, each time a person clicks on a banner on an affiliates site, a cookie will be placed on their computer.  This cookie will not expire for 365 days.  The actual value applied to each affiliate is determined by the value entered for each Affiliate Type.

Don't Overwrite Cookie if it belongs to a different affiliate -- By checking this option the "First" affiliate always gets credit for the conversion even if a different affiliate has generated a more recent click.

Track Banner Impressions -- By turning on this option all impressions for banners will be recorded.  This will allow you measure the click through rate of your banners.  Note that impressions are never counted for Text Links or Product Images.  Impressions can only be counted for Static and Rotating Banners.

Locale Identifier -- Select your Language and Country in order to customize the way dates and currency is displayed throughout Affiliate Wiz.

Default Language -- Select the default language used in the overall Administration Console.  Individual users can also choose their own custom language.

Supported Languages -- Use this option to select which Languages are available in the admin and affiliate consoles.  If only one language is selected the language menu will disappear from the web interface.

Default Affiliate Type -- Select the Affiliate Type assigned to all new affiliates on signup.  If you create your own custom signup page, you can select what default to use at that time.

Records Per Page -- Specify the number of records displayed per page throughout the program.  For example, if set to 10 when viewing sales you will see 10 records per page.  This value is also utilized in the Affiliate Console.

Spider Detection Enabled -- Check this option to avoid displaying banners to spiders and to avoid counting clicks from spiders.

P3P Privacy Policy -- Specify a compact P3P privacy policy.  This policy is added to the browser header on each request.  An example is:

Use Session Tracking in addition to cookies -- Check this option to track users using sessions in addition to cookies.

Use 301 Redirect -- When redirecting all links, this option will use a 301 redirect.  The code "301" is interpreted by a search engine as the page has "moved permanently".  This can help with page rank but there are also some risks in using this method.

Pass All Querystring Paramaters to Target URL -- By checking this option all information in the querystring is passed to the final Target URL.  For example, if an Affiliate Link is:
http://www.yourdomain.com/affiliatewiz/aw.aspx?B=3&A=16&Task=Click
And the Target URL is:
http://www.somedomain.com/somepage.asp
Then the redirect will go to:
http://www.somedomain.com/somepage.asp?B=3&A=16&Task=Click

Cookie All Variables Passed in Querystring -- Select this option to place all variables passed in the querystring into a cookie.

PayPal IPN URL -- If you are tracking sales through PayPal, you can specify a custom PayPal IPN URL.  If none is specified the default of

https://www.paypal.com/cgi-bin/webscr is used.  The only reason you would specify a custom value is if you are testing and using the PayPal test servers.

Use Direct Links instead of Redirects  -- This option allows you to use direct links to send traffic to your in place of redirects.  This feature requires some very important items such as a W3C P3P privacy policy, and specific Javascript code on your web pages.  Please click here to learn more on direct links.

Check if Target Page Has Direct Link Code Embedded when Adding A New Link -- If you are using direct links, this option allows you to have Affiliate Wiz spider and check pages that you are linking to in order to verify the direct link javascript code has been embedded.

Enable Auditing of Affiliate and User activity -- Turn on this option to audit all changes made throughout the application by the Administrator, Users, and Affiliates.

Prevent Multiple Registrations under the same email address -- Check this option to prevent an affiliate from signing up a second time using the same email address.  The message displayed can be customized by editing the signup page error messages.

Payment Methods

Select one or more payment methods supported by your affiliate program.  Choices are Check, Paypal or Other.  If more than one option affiliates can choose their payment method.  If choosing PayPal they must enter their paypal email address.  When choosing a check, they must enter the Checks Payable To name.

Affiliate Blocking Options

This option allows you to block Affiliate Signups that contain specific text.

Block signups containing specific text -- Check to enable the option.

Text to use for Blocking -- Enter the text to use for blocking.  Enter one item per line.  For example, to block all signups containing links you might enter <a href

Message displayed to an affiliate when they have been blocked  -- Enter a custom message to display when a signup has been blocked.

 

Admin Console Properties  -  Use this option to modify the footer text and footer link that appears throughout the Affiliate Wiz administration console.

Optional Sales/Lead Tracking Fields  -Use these optional fields to track additional information with sales and leads.  For example, you might use these fields to track which products are purchased.  Enter a field definition for any field you will be using.

Affiliate Redirect Limitations

This option is used to limit what URL's can be used for the TargetURL parameter that Affiliates can append to links in order to send traffic to any page in your web site.  This feature is necessary for sites that have been tested for McAfee PCI Compliance.

Limit custom TargetURL to specific domain(s)-- If you check this box and do not enter any URLs in the box below then the custom TargetURL feature will be disabled

Enter the URL's to limit redirects.  Enter one record per line

New Member Email Message  -- Sent to members after their account is approved, or sent if new members do not require validation.

Pending Member Message  -- Sent to members after submitting their application only if you check the option "New Members Require Validation".

Rejected Member Message  -- Sent to a new member if their application is rejected.  This applies only if you manually approve new members.

New Sale Message  -- Message sent to affiliate after a sale has been made.  If you require sales be manually accepted and you allow affiliates to view pending sales, it is important that you include the Sale Status in the message.

Affiliate Console

These setup fields allow you to define the appearance of the affiliate console.  This includes the Header, Footer, Style Sheet, banner sorting, etc.  Fields include:

Affiliate Console Header  -- Enter any HTML to be displayed as a header in the Affiliate Console.

Affiliate Console Footer -- Enter any HTML to be displayed as a footer in the Affiliate Console.

Affiliate Console Style Information -- You can modify the default style sheet which will determine the look and feel of the Affiliate Console.

Tier X Literature Information -- Modify this text which is displayed to affiliates who have been assigned more than one tier for their Affiliate Type.

Title in Affiliate Console -- Enter the title that will appear at the top of the Affiliate Console.  For example "Member Console".

Banner Sorting Affiliate Area -- Select the method of sorting of banners and links in the affiliate console.

Full URL to Affiliate Agreement OR Affiliate Agreement Text-- Enter the full URL including http:// to your Affiliate Agreement.  Alternatively, choose the option to paste in your Affiliate Agreement text then paste the text into the box provided.

Default Page after Login -- Use this option to send affiliates to the page of your choice when they login to the Affiliate console.    By default they are sent to the summary report which is "SummaryReport.aspx?D=SummaryReport".  

To go directly to the announcements page you would enter:
Announcements.aspx?D=Announcements

Message Displayed to Affiliate After Signup (Message can contain HTML) -- Use this field to enter a custom message that is displayed to affiliates immediately after successfully submitting the affiliate signup form.  This message can contain HTML.  For example, if you you require manual approval of affiliates the message might indicate further instructions including the fact that an email has been sent with their login instructions.

Message Displayed to Affiliate When Logging Into Affiliate Console -- Enter custom text or HTML that is displayed to affiliates when logging in to the Affiliate Console.  This could be information on current promotions, when they next payout will occur, etc.

Instructions in Affiliate Console for Banner and Text Linking options -- Specify any instructions for affiliates on linking banners, text, products, etc.  This will appear in the affiliate console when the affiliate chooses any of the linking options.

Custom page -- Use this option to create a custom page in the Affiliate Console containing your own custom content.  Leave blank to not create a link to this page. The link will appear under the other section in the Affiliate Console. To have affiliates land on this page when logging in, set Default Page after Login to Custom.aspx

Spider IP's
Enter any IP addresses that wish to block tracking Affiliate impressions and clicks.  If you would like to turn on Spider Detection you must do so under Preferences/Setup--Setup Defaults.
Spider Headers
Enter any browser headers that wish to block tracking Affiliate impressions and clicks.  If you would like to turn on Spider Detection you must do so under Preferences/Setup--Setup Defaults.
IP Blocking
Use this option to ignore sales/leads that come from specific IP addresses.  For example, you may block your company IP addresses so that sales which are manually entered do not get credited to an affiliate.
Country Blocking

Use this feature to block Sales, Leads or Pay Per Click commissions from specific countries.  The country of the purchaser/clicker is determined by resolving their IP address to their country.  This feature can only used if you have purchased and imported 3rd-party Geo-data.  To import the data, use Tools then choose Import Geo Data.

The country data can be purchased from a 3rd party such as IP2Location.com or MaxMind. 

Once a Country has been selected, any sales, leads, or clicks that originate from that Country will be blocked. 

PayPal Settings

In order to use the PayPal Mass Pay tool you must define information about your PayPal account.  These fields include:

Use this option to customize the help documentation that appears in the Affiliate Console
Audit Log

Auditing allows you to record each activity that takes place in Affiliate Wiz including Admin, User, and Affiliate tasks.

Enabling Auditing -- To enable Auditing, click Preferences/Setup then scroll down to the Default Options section.  Check off the option titled "Enable Auditing of Affiliate and User activity".

Viewing the Audit Log -- To view the audit log, click the Audit Log link on the left navigation within the overall Administration console.

Affiliate Audit Log -- Displays all activity performed by Affiliates.

Admin/User Audit Log -- Displays all activity performed by the overall administrator and by specific Users.

Landing Pages
HTML Landing Pages are used to specify complete HTML that affiliates can use as landing pages on their web site.
